Handy AI tools to make your work life easier

Artificial intelligence is no longer a far-fetched concept from a sci-fi movie. It has become a vital part of our everyday lives, especially when making our work lives easier. From researching to note-taking, there are numerous AI-powered tools available that can streamline your workflow, save you time and help you stay organised. Freely available ChatGPT might have got us talking and imagining, but what’s available and which tools will help us out right now, today?
In this article, we’ll explore some of the best AI tools available, organised by categories, to help you find the perfect tool for your needs. So, let’s dive in and discover how to make your work life easier with AI-powered tools.

A word about capability

Artificial intelligence tools, like ChatGPT, are exciting. They open our imaginations to what might be possible, and many of them are already exceptionally useful. However, you should exercise care and caution when choosing and using AI tools. As we revealed in our recent article, The Implications of ChatGPT for Pharma, even Sam Altman, CEO of the company behind ChatGPT, said, “ChatGPT is incredibly limited, but good enough at some things to create a misleading impression of greatness.”

AI tools often look fabulous. Take in the marketing spiel on top, and you’ll believe they can do everything from tying your shoelaces to making your breakfast. However, while many are indeed incredible, none are perfect as yet. For example, with ChatGPT, you won’t get unique concepts or nuanced writing, and you may even get false information; with Grammarly, you may instinctively know to override its non-human-sounding suggestions; or with Otter.ai you might be handed a transcript of a conversation that reads like gibberish – as I once was.
As such, the trick is to view AI solutions as tools. They don’t replace you – the skilled craftsperson. They are your power drill over the manual option that tires your arm. The skill of using the AI tool effectively still rests with you. When you view AI solutions this way, you can fully unleash their potential to make your working life easier.
So let’s get cracking and look at some of the best AI tools you can become the master of to make doing your job easier.

Categories of AI tools

To make it simpler, we’ve split our suggestions into eight separate functional categories:
Searching
• Image creation and editing
• Note-taking and transcription
• Video creation
• Reading
• Written content creation
• Text enhancement
• Presentation preparation
• Research
• Automation & multi-function

Searching:

Consensus
Unlike ChatGPT that gives you fake citations, Consensus answers your questions with references to actually published papers.

Evidence Hunt
Answers your clinical questions with citations to published papers.

Search Smart
A search engine to help you find the most suitable database for your research.

Image creation and editing AI tools:

In an omnichannel social media-centric world, where visual content rules, the ability to generate unique on-point imagery is essential and image creation and editing tools help.

DALL-E2
From the makers of ChatGPT, type in a description of the image you want, or upload a picture and ask for edits and love what it creates.

Stylized
You can drop an image of your product into any setting or output with Stylized without having to do a tricky photoshoot on location.

neural.love
For free, you can describe the image you want and see some generated suggestions. However, it performs better with non-photographic requests.

For branding imagery and logos without design skills, try Looka.

Note-taking, transcription AI tools, themes identification:

If note-taking is part of your every day, you’ll know you’re only as effective as the quality of your notes. And wouldn’t it be great to concentrate on the speakers, knowing there will be an accurate record and to-do list at the end? These artificial intelligence tools can make note-taking easier.

 fireflies.ai
fireflies.ai doesn’t just record and transcribe speech; it allows you to search transcripts and add comments for ease and speed. Anyone who has had meetings with me will have seen Fred in my meetings.

Otter.ai

Transcribe voice conversations and generate summaries while auto-recording with intuitively-designed Otter. I have had some issues with the transcriptions and fireflies works better for me but some are happy with otter.

Rev.com
Claiming to be 90% accurate (compared to their guaranteed 99% accuracy for human transcribers), Rev.com’s AI transcription tool creates searchable auto-transcriptions across 31 languages. It’s excellent for captioning and subtitling too.

Lateral.io
A unique app that helps you find common themes across multiple research papers — in minutes.

Glasp
Think of it as Twitter but for note-takers.
Take notes on research papers and share them with likeminded people across the world

AudioPen
A unique app that helps you find common themes across multiple research papers — in minutes.

ClioVis
Not an AI-powered app but still much better than many available tools. Helps you visualize connections between different ideas and concepts. Also lets you export your notes to an MS Word file.

Video creation AI tools:

Video creation is essential for marketing, education, and engaging your audience in a visually appealing, easily accessible way. But video generation can be complex, expensive and time-consuming. Video creation AI tools make things easier.

Synthesia

With well-structured instruction and clear objectives, Synthesia can create videos such as how-to guides and explainer videos without needing video-editing skills or equipment.

GEN-2
About to shake up the arena of video creation AI tools is GEN-2 from Runway, which will take text-to-video to the next level, generating unique videos with text, images and video clips.

Pictory

Pictory takes your long-form content (such as an article) and turns it into a video you can edit and post without any technical know-how.

While you’re at it, Soundraw is an AI-powered music-generation tool worth using, and WavTool is a similar sound-generation option. Opus is an AI tool that takes video generation to the next level with gaming and simulations.

SciSpace
One of the most powerful and versatile tools currently available for reading journal articles.
You can ask your reading Copilot to explain difficult passages.

Written content creation:

The power of the written word is invaluable in all communications, from persuasive sales emails to blog content and printed materials. However, crafting exceptional and accurate written pieces using your business tone of voice is a tall order. AI-written content creation tools can help.

ChatGPT
The freebie everyone is talking about is, of course, ChatGPT. With some skilled prompting, it can generate good quality content on less complicated topics. Just make sure to fact-check and edit. And don’t put anything confidential in there.

Copy.ai
A touch glitchy, but Copy.ai does similar to ChatGPT while allowing better editing so you can get the format you need from the generated content. It’s more content writing specific than ChatGPT and is a good starting point for non-writers.

Jasper

Jasper is a great content marketing tool that enables content generation quickly in multiple formats and styles. You’ll need to be savvy with the editing, but it’s a good springboard for acceptable content.

Jenni AI
A personal writing assistant that will make sure you never face the writer’s block.

Paperpal
An editor to help you polish your academic writing. Also has an MS Word plugin so you can edit from within MS Word.

Text enhancement AI tools:
Whether you’ve written your own content or got one of the AI tools above on the job, you want to enhance your writing to be easier to read and word-perfect. Text enhancement tools make it easier than taking an English language degree.

Grammarly
Pop in your text – hand-written or AI-generated (yes, you still need to!) – and get editing. You’ll still need your mind to keep your writing fluent and persuasive, but it helps with the nitty gritty of syntax and grammar. What’s more, it can work across your apps, so as you type an email, for example, it’ll automatically make suggestions.

Wordtune

Know what you want to say but not how to convey it best? Wordtune takes your text and makes it sing.

Hemingway
With readability scores and helpful highlights, Hemingway makes suggestions that help you improve your writing.

Presentation preparation AI tools:
You know what you want to say, but what’s the best way to show it off? Take the time and labour out of presentation preparation with AI tools that help you create slide decks.

Beautiful.ai
Create beautiful slide decks from your prompts in mere moments. No more messing about and getting frustrated.

Research AI tools:

Want to get to grips with reams of research and not forget a salient point or fail to make a connection? Research AI tools are coming on leaps and bounds. Always ensure sources are trustworthy.

Genei
If you’ve got lots of content to process, then Genei allows you to use keywords and topics to find valuable sources and generate summaries.

Heyday

Create a personalised knowledge base, make connections, and quickly search your research. What’s more, it’s not just webpages; you can add documents, emails, social media and more.

Consensus

Excellent for trawling the web to find answers to scientific inquiry, Consensus helps you find, scan and summarise salient points from reams of peer-reviewed studies.

Automation and multi-function AI tools:

Many AI tools automate multiple laborious processes and help with various work functions. There’s an element of one-size-fits-all not always working, but some gems are worth considering.

Mem.ai
Mem is all about making teams more efficient with the power of AI. It’s got elements of transcription, calendar and email syncing, content creation and more.

Zapier

Zapier helps you automate your workflows, from automating emails to automating IT functions. Not AI but useful.

Integrately
If you’re bamboozled with too many apps, Integrately integrates them to create automatic streamlined processes without coding know-how.

Can AI tools take over part of your job?

All these AI tools sound amazing, and undoubtedly many have exceptional functionality, but you’re not able to kick back and do nothing just yet. All AI tools only generate output as good as their operator, and many still lack truly skilled capability. However, they can provide shortcuts and make life easier for the non-skilled individual needing a competent, expensive task completed, such as video creati

Conclusion

AI tools can take over specific tasks or parts of your job that are repetitive, rules-based, and don’t require human decision-making or creativity. But, it’s unlikely that AI will be able to completely replace workers as many jobs require human skills such as empathy, nuance, critical thinking, and problem-solving, which are difficult for machines to replicate. Instead, AI tools are more likely to augment and enhance human capabilities rather than replace them entirely. But for now, they can definitely make aspects of your work life easier and more efficient.
